This Privacy Policy explains how Araina Group ("we," "us," or "our") collects, uses, and protects information when you visit arainagroup.com (the "Site") or apply for recruitment opportunities through us.

We are a recruitment company registered in the United Kingdom, providing recruitment services to clients and candidates in the United States. As a UK-based company, we process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, regardless of where our candidates and clients are located.


1. Information We Collect

Information you provide directly

  • Contact form submissions: When you use our contact form, we collect your name, email address, phone number (if provided), and any message content you submit.
  • CV/resume uploads: When you upload your CV or resume, we collect the information it contains, which may include your work history, education, qualifications, skills, references, and contact details. CVs may also incidentally contain sensitive information (e.g., nationality, right-to-work status, or other details you choose to include) — we only use this information as necessary for recruitment purposes described below.
  • Newsletter/email sign-up: If you subscribe to our newsletter or mailing list, we collect your email address (and name, if requested).


Information collected automatically

  • Our Site is built and hosted on GoDaddy's website builder platform, which may collect standard technical data automatically, such as your IP address, browser type, device information, pages visited, and time spent on the Site, and may use cookies or similar tracking technologies (including GoDaddy's own analytics tools, if enabled). 2. How We Use Your Information

We use the information we collect to:

  • Respond to inquiries submitted through our contact form
  • Evaluate your CV/resume against current and future job opportunities
  • Share your CV and application details with prospective employers/clients in connection with recruitment opportunities
  • Contact you about job opportunities, interviews, or the recruitment process (including by text message, if you've opted in)
  • Send newsletters, updates, or marketing emails to subscribers
  • Maintain and improve the Site
  • Understand how visitors use the Site (if analytics tools are in use)
  • Comply with legal obligations


3. Legal Basis for Processing (UK GDPR)

As a UK-based data controller, we rely on the following legal bases to process your personal data:

  • Consent: for marketing emails, text messages, and where you've explicitly agreed to us holding your CV for future opportunities
  • Contract / steps prior to entering a contract: to evaluate your suitability for roles and share your details with prospective employers at your request
  • Legitimate interests: to operate and improve our recruitment services, and to keep limited records for as long as reasonably necessary

Where we rely on consent (e.g., marketing emails or SMS), you may withdraw it at any time using the methods described in this policy. Every marketing email includes an unsubscribe link.


4. How We Share Your Information

We do not sell your personal information. We may share information with:

  • Prospective employers/clients: If you apply for a role or submit your CV to us, we share relevant application details with the US-based employer(s) or client(s) you are being put forward to, for the purpose of recruitment
  • Service providers who help us operate the Site and send communications (e.g., GoDaddy)
  • Legal authorities, if required by law, subpoena, or to protect our rights and the safety of others


International Data Transfers

We are based in the UK and provide recruitment services to clients in the United States. As part of this, your personal data — including your CV — will be transferred between the country in which it was collected, the UK, and the US. By submitting your CV or contact details, you understand your information may be processed outside your country of residence. We take reasonable steps to ensure your data is handled securely wherever it is processed.


5. SMS / Text Messaging Data

If you opt in to receive text messages from us, we handle your SMS opt-in data and consent status as follows:

  • We will not share SMS opt-in data with third parties for purposes unrelated to delivering the messaging service.
  • We may share personal data (including SMS opt-in or consent status) with service providers involved in delivering messaging services, such as platform providers, mobile network operators, and vendors.
  • Text messaging originator opt-in data and consent will not be shared with any third parties.

By submitting your phone number through our contact form and checking the consent box, you agree to opt in to receive text messages from Araina Group. 

  • Message frequency varies.
  • Message and data rates may apply.
  • Reply HELP for help and STOP to cancel at any time.
  • No mobile opt-in data will be shared with third parties.

The phone number field on our contact form is optional, and providing it is not a condition of using our services.


6. Cookies

Our Site may use cookies or similar technologies for basic site functionality and, if applicable, analytics. You can control or disable cookies through your browser settings, though this may affect Site functionality.


7. Data Retention

We retain contact form submissions and email addresses for as long as necessary to respond to your inquiry, maintain our mailing list, or as needed to comply with legal obligations.

We retain CVs and application data for 12 months from your last application or contact with us so that we can consider you for suitable roles as they arise, unless you ask us to delete your information sooner. You may request deletion of your CV or other information at any time (see Section 9).


8. Data Security

We take reasonable measures to protect your information from unauthorized access, loss, or misuse. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.


9. Your Rights and Choices

As a UK-based data controller, we extend the following rights to all candidates and users, regardless of location:

  • Request access to the personal information we hold about you
  • Request correction or deletion of your personal information
  • Withdraw consent (e.g., opt out of marketing emails or SMS) at any time
  • Object to, or request that we restrict, certain uses of your information
  • Request a copy of your data in a portable format

We are registered with the UK Information Commissioner's Office (ICO), registration reference ZC032811, and are subject to its oversight. If you believe we have not handled your data properly, you may lodge a complaint with the ICO at ico.org.uk.

If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and to request its deletion. We do not sell personal information.


10. Children's Privacy

Our Site and recruitment services are intended for individuals of working age and are not directed at children. We do not knowingly collect personal information from children under 16. If you believe we have inadvertently collected such information, please contact us so we can delete it.


11. Third-Party Links

Our Site may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites. We encourage you to review their privacy policies separately.
